Privacy & Data Policy

This notice explains how Furthrive Mobile Vets (“we”, “our”, “us”) collects, stores, and protects personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Data we collect

We may collect your name, address, phone number, email address, and relevant animal details when you schedule or confirm a home visit. Notes from each appointment may include medical observations about the pet, not the owner. We collect only information necessary to deliver veterinary services safely and effectively.

2. How we use it

Data is used for scheduling visits, keeping clinical records, issuing invoices, and communicating care updates. We do not use your information for unrelated marketing or profiling. Emails may contain appointment confirmations or follow-up notes only.

3. Lawful basis for processing

Processing is based on your consent when you book a visit and on our legal obligation to maintain accurate clinical records for animals treated within the United Kingdom.

4. Storage and security

All records are held on encrypted UK-based servers. Paper notes used in the field are secured and transcribed to digital form within 48 hours. Access is restricted to veterinary staff and authorised administrators. We apply regular audits and two-factor authentication for system logins.

5. Sharing of data

We may share necessary information with another veterinary practice only when you request a transfer of care or referral. We do not sell or lease data to any third party organisation.

6. Retention periods

Clinical records are kept for seven years from the last entry unless law requires longer. After this time they are securely deleted or shredded.

7. Your rights

  • Access to a copy of your data upon request
  • Correction of inaccurate information
  • Deletion where lawfully possible
  • Restriction of processing for specific purposes
  • Data portability to another vet practice on request
  • Withdrawal of consent at any time
